Job Summary
Silvus is seeking an Office Assistant to support a well-organized and efficient workplace by maintaining and ordering food, beverages, and supplies across all company break rooms, along with general administrative support. This position reports to the Office Manager on the Human Resources team. This position is fully onsite, Monday through Friday at Silvus Technologies’ HQ in the heart of vibrant West Los Angeles.
Key Responsibilities
- Support the overall office environment by ensuring shared spaces remain organized, stocked, and operate smoothly.
- Monitor and maintain supplies for the office as well as daily stocking and routine ordering of snacks, beverages, and supplies for multiple break rooms across the company.
- Responsible for weekly set up of office lunches and monthly birthday celebrations; assist with other event planning as requested.
- Provide support for facilities projects (e.g., escorting vendors, assisting with moves, reporting maintenance issues).
- Receive, sort, and distribute incoming mail and packages; prepare outgoing mail for distribution.
- Keep the office area clean and tidy.
- Maintain office filing and storage systems, fax, scan, and copy documents.
- Provide visitor assistance when required, ensuring proper security protocol and directing guests to the appropriate staff member.
- Support phone coverage as needed, including transferring calls and relaying accurate messages.
- Process visitor request forms and assist with related documentation when applicable.
- Assist with documentation and logging (data entry) activities.
- Support teams with various administrative tasks.
- Be supportive of the Office Manager with the following tasks as needed or when out of the office: Manage office tasks.
