Job Title: Event Management Specialist

Department: CCC | Administrative Office

Lead the planning, coordination, and execution of Grand Rounds, conferences, and other major events, that support the strategic goals of the cancer program. Experienced professional who can effectively work with the CEO’s office, faculty, distinguished speakers, and external stakeholders to ensure seamless event delivery. Develop comprehensive project plans, timelines, and budgets for each event, ensuring alignment with the university’s objectives and branding. Manage logistics including venue selection, catering, audio-visual, and technology needs, travel arrangements, and on-site execution. Oversee all aspects of registration, attendance tracking, and post-event evaluation and reporting. Cultivate relationships with vendors, sponsors, and service providers to negotiate contracts and maximize value. Ensure compliance with institutional policies, regulatory standards, and best practices in hospitality and event management. Provide guidance and mentorship to others including volunteers assisting with event operations. Anticipate potential challenges and develop contingency plans to mitigate risks and maintain event excellence.

Required Qualifications

  • Bachelor’s degree in Hospitality Management, Event Planning, Business Administration, or related field; advanced degree preferred.
  • A minimum of 4 years of progressive experience in hospitality, meeting planning, or conference management, with demonstrated success in coordinating executive-level events.
  • 4-8 years relevant experience preferred.
  • Strong organizational, communication, and interpersonal skills; adept at building relationships and navigating complex stakeholder dynamics.
  • Expertise in project management and event technology platforms.
  • Ability to work under pressure, manage multiple priorities, and deliver results within tight deadlines.

Preferred Qualifications

  • Certified Meeting Professional (CMP) designation or equivalent credential.
  • Experience working in an academic environment.
