About this role

We are seeking a detail-oriented and experienced Facilities Coordinator to join our team. The successful candidate will focus on managing budgets, handling monthly invoices, and overseeing financial transactions to ensure accuracy and compliance with company policies. Additionally, the employee will support the Facility Manager and coordinate between the team and local stakeholders, both internal and external partners, understanding and responding to their needs through effective and efficient coordination of all facilities and services to meet or exceed service level agreements with customers.

What this job involves

  • Develop, manage, and monitor the company’s annual budget.
  • Prepare and distribute monthly financial statements and reports.
  • Handle the processing, recording, and reconciliation of all invoices and financial transactions.
  • Ensure timely and accurate billing and invoicing processes.
  • Conduct variance analysis and provide insights on monthly budget performance.
  • Maintain accurate financial records and ensure proper documentation.
  • Coordinate with various departments to collect financial data and support decision-making processes.
  • Assist in the preparation of financial forecasts and plans.
  • Ensure compliance with financial regulations and standards.
  • Support the month-end and year-end closing processes.
  • Support the Facility Manager and be the primary interface with stakeholders.
  • Understand and respond to stakeholder needs through effective coordination of facilities and services.
  • Align with client’s business strategies, site requirements, and standards.
  • Manage the cleaning staff, including daily cleaning SOPs, and ensure compliance with the requirements of the SOW.
