Job Summary
As a Facilities Administration Intern, you will support the Facilities Executive team in managing administrative functions across HSBC Malaysia’s network of over 50 branches. This internship provides valuable exposure to facilities management operations while developing professional skills in administration, coordination, and communication.
Key Responsibilities
- Assist in processing and tracking work orders through the Corrigo system for branch maintenance requests
- Help maintain organized documentation for statutory permits, certifications, and compliance records
- Support the preparation of meeting agendas and take detailed minutes for facilities team meetings
- Organize and file maintenance reports, inspection records, and other facilities documentation
- Collect and compile data for monthly management reports and presentations
- Assist with inventory tracking and stock reports across the branch network
- Help monitor budget expenditures and organize invoice processing documentation
- Create and update spreadsheets for tracking maintenance schedules and completion status
- Schedule maintenance visits and coordinate with branch managers for access
- Liaise with vendors and contractors to confirm appointment times and requirements
- Support communication between the facilities team and branch personnel
- Assist in coordinating emergency response drills and safety inspections
- Help prepare materials for tender processes and contract evaluations
- Assist with research for facilities improvement initiatives
- Support the implementation of standardized procedures across branches
- Participate in branch inspection visits when appropriate
Requirements
- Currently pursuing a degree in Business Administration, Facilities Management, or related field
- Strong organizational skills and attention to detail
- Proficiency in Microsoft Office applications (Excel, Word, PowerPoint)
- Good written and verbal communication skills
- Ability to manage multiple tasks simultaneously
- Interest in learning about facilities management and property operations
